We are currently seeking an Executive Assistant to support our President & CEO, with a primary reporting line to the Chief of Staff and a secondary line to the CEO. Key Responsibilities
- Manage the CEO’s calendar, coordinating meetings and ensuring that appointments and travel arrangements are meticulously organized.
- Act as a primary liaison between the CEO and internal/external stakeholders, screening communication and prioritizing correspondence based on urgency.
- Organize Board of Directors and committee meetings, including preparing agendas, presentations, and minutes, while ensuring follow-up on action items.
- Coordinate all aspects of the CEO's travel, managing itineraries and accommodations.
- Handle sensitive information with the utmost confidentiality, ensuring the CEO is well-prepared for engagements.
- Prepare and proofread documents, reports, and presentations for the CEO, assisting with grant reporting and financial tasks.
- Support special projects initiated by the CEO, including community engagement and fundraising activities.
- Oversee the efficient operation of the CEO’s office and maintain organized records and filing systems.
While we offer a hybrid work environment, the Executive Assistant will be expected to work on-site five days a week during a designated 12-week period from March to May 2025. During this time, responsibilities will include front desk duties, assisting with conference room management, and maintaining office supplies. Following this period, the Executive Assistant will coordinate remote workdays based on the CEO’s preferences.

Qualifications
- A high school diploma with some post-secondary education in business administration or a related field, accompanied by five years of experience supporting C-Level executives. Equivalent combinations of education and experience will be considered.
- Demonstrated capacity to meet deadlines and deliver results in a fast-paced environment.
